Instructions:
When opening the project, the PIC codes of participating organisations are requested. The system automatically creates a contact details page for each patrticipating organisation with the registration data of the organisation. The project also requires to identify the contacts for this particular project in each organisation. The data required here is:
- Department(s) carrying out the proposed work: Department name and address, if different from organisation
- Person in charge of the proposal: Title, Gender, Name, email, position in organisation, department and address (if different from organisation), phone.
- Additional contact persons can be named. Required are name and email. Phone optional.
Each organisation also has to submit a top line budget. The total amounts are given in the Part A, and these are the official figures explained out in the proposal document (Part B). The total Euro amounts of following are requested:
- Direct personnel costs: The total sum of wages of people working directly for the project, including employer contributions.
- Other direct costs: Any other costs of purchases, including travel, services, resources, etc.
- Direct costs of subcontracting: If a large part of the project work needs to be subcontracted (e.g a full work package, a task or a deliverable), or the work subcontracted is tailored for the project and cannot be purchased from open markets.
The form automatically adds 25% of direct personnel costs and other direct costs on top of the calculated total to account for indirect costs related to project work.
The reimbursement rate is given automatically based on the application type and the type of the applicant organisation. This can be changed, but the reason for the change needs to be verified to be in line with funding rules at the funding phase.
The form calculates the maximum EU contribution automatically.
Fill in the Requested EU Contribution manually! This field does not update automatically, and can be less than maximum. If left at zero, the organisation promises to do the work suggested with only own money.
Other fields that may be relevant to some applicants:
- Direct costs of providing financial support to third parties
- This is relevant if you plan to use other companies or organisations that have a legal link to you in the project. E.g. subsidiary or parent company personnel.
- Costs of in-kind contributions not used on the beneficiary's premises
- Should another organisation provide work for you in the project and they do not have a link to you as mentioned above, but are not a subcontractor. E.g. a research organisation's laboratory is used.
- Special unit costs covering direct & indirect costs
- A special case that covers e.g. clinical trials and access costs.
